Customer accounts and terms

Who delivers, in what quantities, on what terms: in the circular economy, the customer directory is the business. Precious-metal purchasing adds identification documents under the German Anti-Money-Laundering Act (GwG), mandatory from 2,000 euros in cash.

Records and registers

Consignment notes, disposal pre-approvals and the operations log are open to official inspection and must be kept for at least three years. In a dispute, they are your defense.

Analyses and process knowledge

Certificates of analysis, yields and processing parameters show what you get out of a tonne. That is your margin, and it belongs in no third-party data center.

  1. Records under mandatory inspection

    Consignment notes in the eANV portal (Germany’s electronic waste-tracking procedure), weighbridge tickets in the ERP, analyses in the lab, the operations log as a PDF, agreements in the mailbox. The authority may ask at any time, and the register has to be able to answer three years back.

  2. The audit comes every year

    The Efb audit takes place at least yearly, with a site walk-through and spot checks into the documentation. Add customer audits, and anyone shipping waste across borders has been working in the digital notification procedure via DIWASS since May 2026. Whoever first has to gather their records loses audit days.

  3. Every delivery is a case of its own

    Accept or reject, classify, re-sample: decisions like these rest on past cases, official notices and lab agreements. Those sit scattered, and the colleagues who carry them in their heads will leave at some point.

  4. Disputed settlements

    When a credit note is disputed, the chain has to stand: weighbridge ticket, sampling, analysis, posting. Whoever can’t document it quickly ends up negotiating instead of proving.

The knowledge is in the building. It just sits in the eANV portal, the ERP, the lab, the operations log and the plant manager’s mailbox all at once.

Technically closed

The DSK’s guidance on AI and data protection states that technically closed systems are preferable from a data-protection perspective: in open systems, the input data leaves the users’ protected environment. With LOKI it doesn’t.

Where they technically work

Inside a language model itself there is no way to control who may see which information; the supervisory authorities state this explicitly. In the knowledge system in front of it, tenant separation and role-based access do work. That’s why LOKI is built this way. And that’s why individual entries can be deleted deliberately instead of disappearing into a model.

Regulation

eANV, Efb audit and the Anti-Money-Laundering Act

Tracking of hazardous waste has run electronically since 2010, the Efb audit checks the documentation yearly, and since May 2026 the EU Waste Shipment Regulation has been switching to the digital DIWASS procedure. Anyone buying precious metals also carries due-diligence duties under the GwG, and as an importer under the EU Conflict Minerals Regulation. A stack that runs entirely on your premises answers the data question in each of these procedures with one sentence.

The regulators call this a mitigating measure, not a blanket solution, and name open questions around transparency and data-subject rights. We put it exactly the same way.

What every intro call asks about.

Does LOKI replace our eANV system?

No. Waste tracking, including the qualified signature, stays in your eANV portal; LOKI changes nothing there. It makes the contents findable: the consignment note for a batch, the pre-approval with an expiring deadline, the register extract for the audit.

Does LOKI classify waste or decide on acceptance?

No, that is a deliberate boundary. Classification and acceptance decisions stay with your experts. LOKI delivers the groundwork: the past case, the lab agreement, the notice, each with its source.

Our customer accounts and terms are the business. Does an AI get to see them?

Only your own AI. LOKI runs on your hardware behind your firewall: no upload, no API call to OpenAI, Anthropic or Google, no training by third parties. Role-based access governs who in the building sees what: intake sees no terms, the workshop sees no customer accounts.

What about ID copies under the Anti-Money-Laundering Act?

Identification documents are personal data with a retention obligation. With LOKI they stay in the building and follow role-based access: findable for those who have to check them, invisible to everyone else.

Our operations log is partly paper and scans. Useless?

No. Scanned documents are processed with text recognition. With handwritten entries the hit rate drops. We tell you that up front instead of promising otherwise.

How is it licensed?

A fixed monthly price plus a one-time setup fee that includes the server hardware. The license covers unlimited users. There are three packages that differ in hardware sizing. Operation, maintenance, updates and support are included. We’ll give you the specific price in the intro call.
